WORKFORCE DATA NOTICE
Staff & Applicant Privacy Notice
Important information for applicants, recruits, employees, guards, corps members and other DSG personnel.1. Information collected
DSG may collect identity and contact information, next-of-kin and guarantor details, photographs, verification documents, role, branch, assigned post, attendance, approved leave or permission, payroll calculations, deployment, reports, incidents and portal activity.
2. Collection sources
Information may come directly from you, an authorised recruitment officer, references, supervisors, approved attendance machines and records created while you perform DSG duties.
3. Purposes and lawful bases
We use this information to administer employment; deploy and supervise personnel; calculate attendance-based pay; provide access and identification; protect clients, colleagues and property; investigate incidents; comply with law; and manage legal claims. These activities generally rely on contract, legal obligations, vital interests or DSG’s legitimate employment and security interests.
4. Photographs and verification
A staff photograph may appear on an official ID card and its secure verification page. The public page displays only the minimum information required to validate a current card. Separate authorisation should be obtained before optional advertising or publicity use.
5. Sharing
Access may be given to authorised DSG management, Human Resources, Legal/Compliance, Operations, branch managers and necessary service providers, or disclosed where lawful and proportionate.
6. Office-staff fingerprint attendance and accountability
The biometric attendance system is restricted to DSG office staff and excludes guards and field personnel. An approved fingerprint machine verifies a fingerprint locally and sends the portal only its machine identifier, linked staff reference, date and clock-in or clock-out time. Fingerprint images and biometric templates remain on the physical machine and are not transferred to the DSG portal. Attendance-derived payroll remains subject to authorised HR, branch-management and executive review. DSG does not use the portal for solely automated employment decisions.
7. Retention
Records are retained according to DSG’s internal retention schedule, legal requirements and any ongoing complaint, investigation or claim. Access credentials should be disabled promptly when authorised access ends.
8. Your rights and responsibilities
Provide accurate information, protect your sign-in code and report suspected disclosure promptly. You may contact DSG to request access, correction or another right available under Nigerian data-protection law.
